Early Intervention – Administrative Assistant

POSITION SUMMARY: Responsible for Early Intervention database (FIT KIDS), preparing and entering monthly early intervention billing, generating reports to include spreadsheets and day to day administrative task for the Early Intervention program. Develops and/or maintains quality assurance processes within the program.

DUTIES AND RESPONSIBILITIES / ESSENTIAL JOB FUNCTIONS:

  1. Responsible for accessing and entering information into the FIT database
  2. Responsible for ensuring compliance with billing procedures established by the FIT department
  3. Responsible for Department of Health (DOH) and Medicaid billing processes as required by funding agencies
  4. Creating and maintain spreadsheets for billing and quality assurances purposes.
  5. Organization and maintenance of client files.
  6. Assist Early Intervention Program Manager with the compilation and completion of monthly Focus on Excellence Reports
  7. Member of Quality Assurance Committee who is responsible for auditing files as needed.
  8. Must maintain confidentiality in accordance with HIPAA, LVF policy and state and federal law

OTHER JOB RESPONSIBILITIES: 

  • Archive child/family files and retrieve information as requested
  • Assist in maintaining supply of program forms, test protocols, family notes, family education materials and public awareness materials.
  • Attend agency and program staff meetings
  • Attend at least 2 trainings yearly, as per LVF’s Focus on Excellence Plan
  • Other duties as assigned by Manager or Director

ROLE QUALIFICATIONS:

Education Requirements

  • Minimum of a High School Diploma or equivalent. Associate Degree preferred 

Experience Requirements 

  • Minimum of three years experience in clerical and billing (or equivalent training).
  • Must have experience with billing, database computer programs and quality assurance protocols.
  • Experience with Medicaid Portal
  • Proficient in Microsoft Excel
  • Bi-Lingual (Spanish) preferred

Other Knowledge, Skills and Abilities

  • Requires current knowledge of principles and practices of billing services, running reports, sorting data.
  • A general knowledge of the Early Intervention process; referral, intake, evaluation, individual family services plan (IFSP) and transition
  • Demonstrate skills in Microsoft Office programs
  • Ability to prioritize and complete tasks in a timely fashion
  • Requires effective oral and written communication skills and excellent interpersonal skills
  • Ability to acquire proficiency with the Early Intervention Data Base (FIT-KIDS)
  • Ability to participate as a team member in a flexible and cooperative manner
